2.Information we collect
A. Information you give us
We collect information that you choose to provide when you create or use an account, claim or manage an organisation, submit content, subscribe to communications, or contact us. Depending on how you use UmmahBoard, this may include:
- name and email address;
- account and profile information;
- organisation information and your role within an organisation;
- organisation claim information and supporting evidence;
- listing, event, opportunity, charity appeal or update information you submit;
- contact information included in submissions or enquiries sent to us;
- newsletter subscription information, including optional postcode or interests where you provide them.
B. Information generated when you use UmmahBoard
When you browse or interact with the service, we may process:
- pages viewed and interactions with features;
- technical and browser information needed to deliver the service;
- approximate location choices you enter or save for discovery features;
- saved listings, follows and preferences linked to your account;
- analytics and performance information in aggregated form;
- security information such as hashed identifiers derived from IP addresses for rate limiting. We do not store your full IP address as part of your user profile.
C. Location information
UmmahBoard includes location-based discovery features. You may enter a town or postcode, save a preferred location, or choose to share your device's location through your browser.
Browser location access is only requested when you choose a location feature that requires it. Your browser controls whether permission is granted.
Some location preferences may be stored in your browser so that UmmahBoard can remember or apply your discovery preferences. Saved homepage location preferences are stored locally on your device; they are not written to your account profile unless you separately provide location information elsewhere. 3.How we use your information
We use personal information only where we have a lawful basis under UK data protection law. The table below summarises the main purposes.

4.Public information and organisation content
UmmahBoard is a public discovery platform. Information submitted for publication, such as organisation names, public contact details, events, opportunities, updates and other community information, may be displayed publicly on UmmahBoard.
Before submitting personal contact information for publication, you should make sure that you are entitled to make that information public.
Some organisation directory information may be compiled from public, third-party or previously published sources. Claim evidence and internal review material are handled separately from public organisation profiles (see Organisation claims below).
Listing submissions are reviewed before publication. Organisation updates posted by verified active organisation accounts may be published immediately when submitted through the organisation dashboard.
5.Organisation claims
If you ask to claim or manage an organisation page, we use the information you provide to assess your connection to that organisation. This may include your role, explanation and supporting evidence.
Claim information is reviewed by authorised operators. Evidence is intended for review purposes and is not displayed as part of the public organisation profile unless you separately submit it for publication.
Information or evidence supplied to support an organisation claim is used to assess whether you are authorised to manage that organisation. Claim evidence is intended for authorised review and is not published as part of the organisation's public profile.
7.Analytics and performance
We use analytics and performance tools to understand how UmmahBoard is used and to identify reliability and performance issues. We aim to use this information in an aggregated or privacy-conscious form where possible.
We use Vercel Web Analytics and Vercel Speed Insights. Some custom interaction events are only sent when analytics consent is recorded in your browser. Core analytics components may still load as part of delivering the service. See our Cookie Policy.
10.International data transfers
Some of the service providers we use may process information outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer of personal information, we take appropriate steps to ensure those safeguards are in place.
11.How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing the service, maintaining appropriate records, resolving disputes, preventing abuse and meeting legal obligations.
Different categories of information may therefore be retained for different periods. Newsletter consent records are retained with your subscription history. Account information is retained while your account remains active and for a reasonable period afterwards where needed for legal or operational reasons.
Where you ask us to delete information, we will consider the request in accordance with applicable law and any legitimate reason we may need to retain particular records. Self-service account suspension is available in settings; full deletion requests should be sent to support@ummahboard.com.
12.Security
We use technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure or loss.
No online service can guarantee absolute security, and you are responsible for keeping your account credentials secure.
13.Your rights
UK data protection law gives individuals a number of rights. These rights depend on the circumstances and are not absolute. Depending on your situation, you may have the right to:
- request access to your personal information;
- request correction of inaccurate information;
- request erasure in certain circumstances;
- request restriction of processing in certain circumstances;
- object to processing in certain circumstances;
- request data portability where applicable;
- withdraw consent where processing is based on consent;
- complain to a supervisory authority (see Complaints below).
To exercise your rights, contact support@ummahboard.com. We normally respond to valid data protection requests within one month, as required by applicable law. In some circumstances the law allows additional time.
14.Complaints
If you have concerns about how we use your personal information, we would appreciate the opportunity to address them first.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator: ico.org.uk.
15.Children
UmmahBoard is not designed as a service for children to create and manage accounts independently. If you believe a child has provided personal information to us inappropriately, please contact us at support@ummahboard.com.
16.Third-party links
Listings and organisation profiles may link to external websites or services operated by third parties. Their privacy practices are separate from ours, and you should read their policies before providing personal information to them.
17.Changes to this policy
We may update this Privacy Policy as UmmahBoard develops or where legal or operational requirements change. We will publish the updated version on this page and change the “Last updated” date.
